1. About this policy

This Privacy Policy explains how BTM collects, uses, shares, and protects your personal data when you use our website (https://www.beyondthemoves.com), our courses and membership community (hosted on Kajabi), our clothing/Archive store, our checkout and payment pages, our email list, and our official social channels. By using our website or buying from us, you agree to the handling of your personal data as described here. We are the data controller responsible for your personal data.

2. Information we collect

2.1 Information you give us.

When you opt in to a free resource, join our email list, buy a course, membership, or clothing item, or contact us, you may provide: your name, email address, and (where relevant) phone number, billing and delivery address, and the details needed to take payment. We do not see or store your full card details, these are handled by our payment processors.

2.2 Information collected automatically.

When you use our website we automatically collect usage data such as your IP address, device and browser type, pages viewed, and how you interact with the site, through cookies and similar technologies (see Section 5).

2.3 Information from third parties.

We may receive data from our platforms and advertising partners (for example Meta, Google, and our payment providers) relating to your interactions with our ads and checkout.

3. How we use your data, and our lawful bases

Under the UK GDPR we only process your personal data where we have a lawful basis. We rely on:

to deliver the course, membership, or clothing you bought, take payment, provide access, and give customer support.

Your consent:

to send you marketing emails when you have opted in, and to set non-essential cookies. You can withdraw consent at any time.

Our legitimate interests:

to respond to your enquiries, run and secure our website, understand how it is used and improve it, prevent fraud, and market our own similar products to existing customers (you can opt out at any time).

Legal obligation:

to meet our accounting, tax, and legal duties.

We do not sell your personal data, and we do not use your data for automated decisions that produce legal effects on you.

4. Email marketing

If you opt in, we send marketing emails through our email platform (currently Kit). Every marketing email identifies us and includes an unsubscribe link, and we honour opt-outs promptly, in line with the Privacy and Electronic Communications Regulations (PECR). Where you are an existing customer, we may email you about similar products under the PECR “soft opt-in”, and you can unsubscribe at any time. To stop marketing emails, click unsubscribe in any email or contact btm@beyondthemoves.com.

5. Cookies and tracking technologies

We use cookies and similar technologies, including session and persistent cookies. Non-essential cookies (analytics and advertising) are only set with your consent, which you give through our cookie banner and can change at any time.

We use:

Google Analytics, to understand how visitors use the site so we can improve it.

Meta (Facebook/Instagram) Pixel, to measure and target our advertising and build audiences.

Microsoft Clarity, which may record how you interact with pages (for example heatmaps and session replays) so we can improve usability. Clarity may capture your on-page actions; it is configured to mask sensitive input.

You can manage or disable cookies through your browser settings and through our cookie banner, though some features may not work as well if you disable them. Our site does not currently respond to browser “Do Not Track” signals.

6. How we store and share your data

We store your data using reputable third-party platforms, and we share it only with the processors and parties needed to run our business, including but not limited to:

Kajabi, hosting our courses and membership community;

Spiffy and Stripe, checkout and payment processing;

PayPal, payment processing;

Shopify, our clothing/Archive store and its checkout;

Kit, email marketing;

Framer, website and landing-page hosting;

Meta, Google, and Microsoft, analytics and advertising as described above.

We require these processors to protect your data and only use it for the specific purposes we instruct. We may also disclose data where required by law, to protect our rights or safety, or in connection with a sale or restructuring of the business. We do not sell your personal data to third parties.

7. International data transfers

BTM is based in the United Kingdom, but some of our processors (for example Kajabi, Meta, Google, Microsoft, Stripe, and Shopify) are based in the United States or operate globally, so your data may be transferred outside the UK. Where we transfer personal data outside the UK, we rely on appropriate safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement, or Standard Contractual Clauses, to ensure your data is protected to UK standards.

8. Data retention

We keep your personal data only for as long as needed for the purpose we collected it, or as required for legal, tax, and accounting reasons. For example, we keep your account and purchase records for as long as you have access and for the periods required by law, and we keep you on our marketing list until you unsubscribe. When data is no longer needed, we delete or anonymise it.

9. Your rights

Under the UK GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; have your data erased in certain circumstances; restrict or object to our processing; request portability of your data; and withdraw consent at any time. To exercise any of these, contact btm@beyondthemoves.com and we will respond within the time limits set by law.

You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO), at https://ico.org.uk or on 0303 123 1113, if you are unhappy with how we handle your data. We would appreciate the chance to resolve your concern first.

10. Children and minors

Our Products may be used by people under 18 only where a parent or legal guardian makes the purchase and provides consent, as set out in our Terms & Conditions. In line with UK data protection law, we do not knowingly collect personal data from a child under 13 without parental consent. If you believe we have collected data from a child under 13 without appropriate consent, contact btm@beyondthemoves.com and we will delete it.

11. Your content in the community

If you post content in our membership community (for example videos of your practice, comments, or messages), that content and your chosen display name may be visible to other members. Please only share what you are comfortable making visible within the community. How we use community content for marketing is covered in our Terms & Conditions.

12. Accounts and passwords

Some features require an account with a username and password. You are responsible for keeping your login details secure and for activity under your account. Tell us immediately at btm@beyondthemoves.com if you believe your account has been accessed without your permission.

13. Security

We use reasonable technical and organisational measures to protect your personal data, including secure (SSL/TLS) connections for data in transit, and we work with processors that maintain recognised security standards. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but if a data breach affecting your rights occurs, we will notify the relevant parties as required by law.

14. Third-party websites

Our website and content may link to third-party websites. We are not responsible for the content or privacy practices of those sites. Please review their privacy policies before providing them with your personal data.

15. Changes to this policy

We may update this Privacy Policy from time to time. Changes take effect when we post the updated policy on our website, and we will tell you about material changes by email or a prominent notice on the site. Please review this policy periodically.
